GUEST SERVICES COORDINATOR - Iron Peak Sports & Events Sports Facilities Management, LL Location: Hillsborough, NJ

POSITION SUMMARY: The Guest Services Coordinator is expected to provide world-class customer service to all visitors and always displays a vast amount of knowledge of the facility's programs and offerings. In addition, this position will build and maintain a lead database, support with daily camp operations, and serve as an office administrator with a variety of clerical activities.
GUEST SERVICES ROLES & RESPONSIBILITIES: - Provide superior customer service
- Maintain open lines of communication with all existing and new customers via phone and email
- Field and manage inbound calls and route to the correct destination
- Act as a liaison between the venue and the guests
- Create and effectively coordinate weekly Guest Services schedule
- Manage shift switches, callouts, availability issues
- Support Director of Operations during the hiring process by identifying viable candidates and assisting with onboarding procedures
- Construct and implement training schedule for all Guest Services Supervisors & Staff
- Maintain Iron Peak Events, Rentals, and Programming Calendar through Bond Venue Management Platform
- Direct guest feedback and concerns to the appropriate supervisor
- Complete special projects, daily assignments and other duties as directed by management
- Manage incoming booking requests
- Maintain accurate records of participant waivers, event information and incident reports
- Manage office inventory and equipment
CAMPS ROLES & RESPONSIBILITIES: - Manage School's Out and Summer Camp programs including but not limited to, registration, communication, and operation
- Create and maintain a Summer Camp leads database
- Lead outreach effort to returning and prospective campers
- Maintain Summer Camp registration platform
- Assist in summer camp curriculum building trips and event planning
- Coordinate transport for Iron Peak Camps
- Serve as Summer Camp Administrator and Health Coordinator
- Support Destination Camp sales and staffing
MINIMUM QUALIFICATIONS: - Bachelor's degree in related field
- Flexible work schedule (e.g., nights, weekends, holidays, and long hours)
- Basic First Aid, CPR, and AED Certification required
- Excellent communication skills, both verbal and written
- Proven ability to learn new software programs
- Proven success in managing multiple tasks at one time
- Ability to maintain focus in a high-volume, fast-paced environment
- Must have excellent guest service skills
- Must be detail-oriented and have outstanding organizational skills
- Ability to multi-task and prioritize
- Ability to remain calm and focused in difficult and stressful situations
- Must take personal initiative for the betterment of the team and facility
- Commitment to the safety and wellbeing of others
- Experience and success in customer service, leadership, and organization
- Action-oriented personality with a 'get it done' attitude and proficiency for efficiency
WORKING CONDITIONS AND PHYSICAL DEMANDS: - Must be able to lift 50 pounds waist high
- May be required to sit or stand for extended periods of time both indoors or outdoors, and squat, stoop, or bend
- Must be able to work in varying weather conditions
- Will be required to operate a computer
- Facility has intermittent noise
